A non-profit, charitable organization founded in November 2012, PAL Ottawa works to provide or help connect members of the National Capital Region’s professional arts community with essentials such as affordable housing, personal care services, and links to the local arts community so they can live, not in isolation, need and fear, but in dignity within a caring community. We are building community, within the arts sector and beyond!

We are in a transitional period in PAL Ottawa’s operations as we prepare for Opening Day of an 80+ unit, affordable, housing residence for senior arts workers. In partnership with Ottawa Community Housing, we are preparing to welcome residents in early 2024.

This role supports PAL Ottawa’s overall operations growth and programs through communication functions. The virtual work environment provides a balance of collaborative and autonomous scopes of work.

Core Responsibilities

  • Support and activate community engagement through communications and media platforms.
  • Manage the PAL Ottawa website, social media platforms, DonorPerfect database and functions.
  • Create social media, email, and website content to promote PAL Ottawa activities and partnerships.
  • Maintain webmail functions.
  • Manage communications (letters, receipts, forms) for donations and membership renewals.
  • Prepare a monthly Communications Report for presentation at Board meetings.
  • Produce a monthly newsletter guided by PAL Ottawa strategic and operational priorities.
  • Maintain and grow Facebook, Twitter, and LinkedIn accounts to share information, grow followers, increase likes, and drive readers to intended portals.
  • Lead redevelopment of the PAL Ottawa website in 2022, including content development and transfer, in association with an external website designer.
  • Create and maintain a library of digital resources: images, logos, key messages
  • Prepare an annual Communications Report for distribution at the Annual Members’ Meeting.
  • Adhere to PAL Ottawa’s policies and practices in all aspects of required duties.

Media / Events

  • Manage media and/or community partnership communications for third party fundraising, media, and partnership events.
  • Assist with organization and communication of Annual Membership Meeting (May/June).

Administration

  • Reply to general queries at info@palottawa.org.
  • Assist with writing grant applications and final reports, as required.
  • Manage the GoDaddy platform for PAL Ottawa email and website.
  • Track and receipt PayPal memberships and donations.
  • Maintain and update MailChimp and Eventbrite accounts.
  • Manage online subscriptions for the website, domain name, and social media platforms.
  • Compile and analyze tracking data via Google Analytics.
  • Manage marketing and communications files via online shared drive

Database (DonorPerfect)

  • Attain proficiency on the DonorPerfect system to oversee accuracy and integrity of the data.
  • Contribute to database management.
  • Utilize the system to prepare and distribute donor thank you letters and receipts.
  • Track donations via Canada Helps, DonorPerfect, etc. for reporting purposes.

Required attributes and experience / hours of work

  • Anticipated 15-18 hours per week, dependent on priority activities.
  • Rate: $30 an hour + HST
  • Report to: PAL Manager
  • Bilingual: English/French (preferred)
  • Previously held communications roles in the arts, ideally 5+ years (preferred)
  • High-level functionality with MailChimp, Twitter, Facebook, LinkedIn, Google Drive, Word, Excel, Zoom, PowerPoint, PayPal and website content management
  • Familiar with Canada Helps and DonorPerfect with interest for high functionality
  • Ability to work both autonomously and collaboratively to meet specific deadlines/objectives
  • Knowledge of the National Capital Regions’ arts scene is a strong asset
